How do I synchronize with Google?    Print   Email   Bookmark   Download  


Google’s Google Mail allows you to maintain an address book and a calendar in your Google Mail email account.  You can synchronize those folders of information to your Plaxo account by following these steps:

 

  1. Access your Plaxo Online account at http://www.plaxo.com/po3
  2. In the Sync Dashboard, click the link “Add sync points” to see the Sync Wizard window.
  3. Select the Google endpoint and click "Next".
  4. Enter a your Google username and password (click "Next" to continue).
  5. Select how to map your Plaxo folders with the Google folders.
  6. Click “Next”
  7. Click “Done” to finish the wizard.

Depending on the size of your address book and calendar, data should completely sync between Plaxo and Google Mail within a few minutes.

 

Can I synchronize more than one Google endpoint to my Plaxo account?

Yes. To sync another Google Mail account, simply follow the same steps above. Note that your Google account username will be used to name this endpoint so that you can tell your Google endpoints apart.
 

Managing the Google endpoint

You can always look at your sync settings by clicking the Google Mail sync point icon from the Sync Dashboard and clicking the Manage link.  This opens the “Google Mail – Manage Sync Point” window which shows your current sync settings.

 

Automatic Synchronization updates your Google Mail whenever new information is updated in your Plaxo account.  From here, you can turn “automatic synchronization” on or off. 

 

Synchronization occurs every 15 minutes.  However, you can force an immediate sync by clicking the “Sync Now” link.

 

If you no longer wish to synchronize the data between Plaxo and Google Mail, you can delete the link by clicking the “Delete this Sync Point”.  Note that deleting a sync point does not delete the data in Plaxo or in your Google account.

 

Google Login Information

If the login information to your Google account has changed, you can update your Plaxo syncpoint setup by clicking the Mail syncpoint icon from the SyncDashboard and clicking the “Login Information” link.


Google Synchronization Limits
Currently, the Google sync point is a one-way sync.  It can only read data and changes to the data from Google to Plaxo.  Any changes on the Plaxo side will not reflect back to your Google address book. 

In addition, we only support c
ontact deletions and additions during the sync.  Changes to existing contact records will not sync to your Plaxo account.

For example:
    - if you add a new entry in Google Mail, that new entry will sync and add the entry in Plaxo.
    - if you delete an entry in Google Mail, that deletion will sync and remove the entry in Plaxo.
    - if you modify an existing entry in Google Mail, that change will NOT sync to Plaxo.
 
Another limitation is that Plaxo is sensitive to how you label your Google address book field names.  In your Google address book, there are only 3 fields where the field labels/names can not be modified.  These are Name, Primary Email and Notes.  These 3 fields will always sync to Plaxo.  The rest of the fields have modifiable labels/names.  If the user changes those field labels/names to something other than the default, those fields will NOT sync because Plaxo syncs according to the labels/names.
 
*** Note that we don't currently support international field names until a new patch is released.

Finally, if a Google address book contact does not have a value in the Primary Email field, that contact will not sync to Plaxo - it will be ignored.
